Approver (coming soon!)

An Approver is the individual who has the authorization to approve the learner’s request for learning on LearnHQ, and is usually that employee’s manager.   There is one approver for each employee and that approver will need to follow the appropriate steps to approve the learning.  In the coming months, Approvers will have the authority to view an employee’s Learning Plan; therefore, approvers should be that employee’s manager.

Automated Approval (coming soon!)  

Automated Approval refers to the process LearnHQ uses to approve learning. When a user registers in a class that needs approval, LearnHQ will automatically send an email to the approver asking for him/her to approve the request. The approver logs onto the system and approves or declines the request. The user then gets an email from the system letting him/her know if the learning has been approved.  

Blended classes

A class that takes place both inside LearnHQ, and outside of the system (e.g. in an “in person” classroom environment).


A catalogue is a cluster of courses.  In LearnHQ, there is one master catalogue: Find Learning. This Catalogue is divided into broad categories based on the SOLS Competencies Index for Public Libraries, as well as one area for Certificate and Degree Programs.


Categories organize the LearnHQ catalogue. The main categories are organized by skills, based on the SOLS Competencies Index for Public Libraries.  There is also one category for Certificate and Degree Programs.


Classes are the offerings of various courses.  There may be multiple classes offered for the same course.   Some are offered on specific dates, while others may be self- directed and available at any time.  

Communities of Practice

Communities of practice are groups of people who share a concern or a passion for something they do and learn how to do it better as they interact regularly. (From “Communities of practice – a brief introduction,


Competencies are the skills, abilities and knowledge required for successful job performance by individuals and the successful achievement of the library’s strategic directions.   Examples from public library work include competencies related to customer service, programming, technology, budget and finances, and organizational leadership.  Each learning activity in LearnHQ is assigned to at least one competency.

Continuing Education Certificate Program (coming soon!)

The Partnership Continuing Education Certificate (CEC) Program is a national program administered by the Library Association of Alberta on behalf of The Partnership of provincial and territorial library associations of Canada.  This program that will offer members of these associations the opportunity to invest in personal career development through a formal program to plan, document and report your professional development and learning activities. 

In future phases of development,  we will try to identify the point values for each learning activity in LearnHQ.  However, your formal Record of Learning Activities will still be entered in on the CEC site. 


Courses refer to the subject that is being presented.  Individual offerings of a course are referred to as Classes.


E-Learning refers to an electronic means of communication, education, and training. LearnHQ provides a platform for creating and hosting e-Learning classes.  

External Learning

External Learning refers to learning offered by organizations other than the core partners of Learn HQ (SOLS, OLS-North, OLA). 

Formal Learning

Formal learning is defined as a structured process with set expectations, usually provided by an education or training institution, leading to some sort of certification or other known outcome.   Examples include: workshops, courses (both e-learning and classroom learning), certificate programs, conferences, on-the-job training, formal mentoring or stretch assignments.  

Informal Learning

Informal learning occurs as part of everyday activities (either in a work or in a personal context), is unstructured, and often spontaneous.  It can include a small stretch assignment (link to definition), peer coaching, informal mentoring, and the use of networking tools such as discussion groups and\or participation in Communities of Practice.

Learning Plan  (coming soon!)

A learning plan is a feature used by learners to outline their learning objectives as they relate to competency development.

Learning Objects

A Learning Object is the term used for learning activities in LearnHQ . Learning Objects can include Courses, Classes, Sessions, e-learning, resources, etc.

Mass Registration

Mass registration is the process of registering a large group of people into a class by a System Administrator.  Please contact support@learnhq. if you want to register a number of people to a course.

 My Classes – Current

The “Current” section of the My Classes panel on the dashboard lists all the current classes the learner is registered to and that are still in progress.

My Classes – Past

The “Past” section of the My Classes panel on the dashboard lists all the classes that the learner completed. It also lists any class the learner was previously registered to but was then subsequently dropped or cancelled.

My Dashboard

The dashboard in LearnHQ is the user’s personal page. User dashboards host announcements, show new classes that are available for registration, and provide a link to the learning catalogues. The dashboard is where users will go to update their profiles, check registration status, complete assigned tasks, and view their learning activity.

Permission Based

Permission Based refers to what level of permission various audiences have in LearnHQ and in consequence what that allows them to view.  At present, we have three levels of permissions:

  • Users are employees or trustees of Ontario public library systems that can log in to the system and create an individual user profile, register for learning opportunities, and use the “My Dashboard” feature.
  • System Administrators have specific duties related to the administration of LearnHQ, such as setting up classes, creating reminders, updating profiles, generating reports, etc.

However, anyone can visit the site and browse the learning opportunities or professional information resources.


Users will have a personal profile found off of their dashboard on LearnHQ. The profile page is where users will reset their passwords and security questions. They will also be able to view their learning activity, learning plans, and competency development on their profiles. Profile information is used for reporting purposes to help with strategic planning in the area of learning.

This lists all the classes the learner has registered to.

This lists all the competencies the learner has been awarded.  

Profile - Learning History  (Coming soon!)

Learning History is previous learning that employees have participated in to prepare them for their jobs, or as a part of their employment before registering in this system.  This includes manually added learning such as post-secondary learning, in-house training and other learning that is relevant to your position and/or employment history. 


LearnHQ’s Resources section is an area of the system where relevant web links, documents, and other resources for learning will be housed.


Sessions are portions of classes that may be offered over a variety of dates or times and the same group of learners is required to attend all of them to complete the necessary learning.  This is typical of many certificate courses, for example. (Contact Us)  is your first contact when faced with system issues. Staff will provide technical support to users and escalate issues to the service provider when needed.

System Administrator

System Administrators have specific duties related to the administration of LearnHQ, such as setting up classes, creating reminders, updating profiles, generating reports, etc.


Username is the personal login assigned to individual employees for accessing LearnHQ and registering for learning activities.  Your username is your email.


Users are the people who will have accounts on LearnHQ for the purpose of accessing learning resources, registration in learning events and participating in e-Learning classes.
